The Velvet Room (“we,” “us,” or “our”) operates the lounge at 8020 Norfolk Avenue, Bethesda, Maryland 20814, and the website at velvetroombethesda.com. This Privacy Policy explains how we collect, use, and share information when you visit our website, reserve a table, submit a Private Event inquiry, or otherwise contact us.
1. Who this policy covers
This policy applies to guests, website visitors, and people who submit Private Event inquiries. It also describes how we use business tools such as email and QuickBooks to follow up on those inquiries. Our staff tools are not a consumer app marketplace product; they are used by The Velvet Room to run the venue.
2. Information we collect
We may collect:
- Contact details you provide, such as name, phone number, and email address.
- Private Event details, including event date, guest count, food or cocktail/flight interest, and notes you choose to share.
- Reservation details when you book a table through Toast or another reservation partner.
- Communications you send us by form, email, phone, or social media.
- Technical data such as browser type, device, approximate location derived from IP address, and pages visited. We do not use the site to secretly record payment card numbers.
3. How we use information
We use information to:
- Respond to reservations, Private Event inquiries, and other requests.
- Create and manage a Private Event record in our venue systems.
- Prepare a starting QuickBooks estimate for Private Events (venue rental shell). Final pricing, invoices, and payment requests are handled in QuickBooks by our team.
- Send operational email about your inquiry or visit.
- Operate, secure, and improve the website and guest experience.
- Comply with law and protect the venue, staff, and guests.
4. Sharing
We do not sell your personal information. We may share information with:
- Service providers who help us operate, including email delivery (for example SendGrid), table reservations (Toast), mapping (Google Maps), hosting, and accounting (Intuit QuickBooks Online) when a Private Event estimate is created.
- Staff and operators of The Velvet Room who need the information to serve you.
- Legal and safety recipients when required by law or to protect rights, safety, or the venue.
If you pay an invoice through QuickBooks, Intuit’s own privacy policy and payment terms also apply to that payment.
5. Cookies and similar technology
The website may use cookies or local storage for basic functions such as remembering splash-screen preferences. We do not use the public site to run hidden advertising trackers as a core feature. Third-party embeds (maps, reservation widgets) may set their own cookies under their policies.
6. Retention
We keep inquiry and event records for as long as needed to host or follow up on the event, maintain business records, and meet legal or accounting requirements, then delete or archive them according to our internal practices.
7. Children
The Velvet Room is an adult cocktail lounge. The website and Private Event form are not directed to children under 13, and we do not knowingly collect personal information from children.
8. Your choices
You may request access, correction, or deletion of Private Event inquiry information we hold, subject to legal retention needs. Contact us using the details below. You may also unsubscribe from marketing email if we ever send it; operational messages about a booking or inquiry may still be necessary.
9. Security
We use reasonable administrative and technical measures to protect information. No method of transmission or storage is completely secure.
10. Changes
We may update this policy. The effective date above will change when we do. Continued use of the website after an update means you have been given notice of the revised policy.
